What Gravel Hub collects, who sees it, and how to get it removed
Last updated October 31, 2026
The short version
Gravel Hub is operated by Rush Creek Labs LLC (“we”, “us”).
- You can browse events without an account. We only store personal data once you sign in.
- Your saved events, race plans and profile are private. Ratings, recaps, course conditions and photos you post are public, shown under your first name and last initial.
- We don't sell your data, show ads, or use advertising trackers.
- Email us at phil@gravelhub.io and we'll send you a copy of your data or delete it.
What we collect
- Account. Your name and email address, from the sign-in provider when you create an account.
- Profile settings. Your home area (if you set one), time zone, distance units, Strava or Garmin profile links, and email preferences.
- Planning. The events you save, and your race plans: chosen distance, start time, average speed, route link, notes, and aid stations with nutrition notes.
- Contributions. Event submissions, suggested edits, ratings, post-race recaps, course condition reports, photos, and reports of recaps you flag.
- Premium waitlist. That you joined and which page you joined from.
We don't take payments, so we hold no card or billing details. Rate limits on contributions are tracked per account, not per IP address.
Location
- Approximate city. The home page shows nearby events using the approximate city our hosting provider derives from your IP address. We don't store it.
- “Use my location”. Only when you click it, your browser shares your coordinates. We send them to Mapbox to look up the place name and keep the result in your browser so the search remembers it. It isn't saved to your account.
- Place searches. What you type into a location search is sent to Mapbox to find matching places.
- Home area. Saved to your account only if you set one on your profile. We use it for nearby-event suggestions and your weekly digest.
What other people can see
- Ratings, comments, recap notes, course condition reports and approved photos are public, shown under your first name and last initial (for example, “Jane D.”). Your email address is never shown.
- Events you submit become public once approved. Your name isn't shown on them.
- If you share your calendar (Premium), anyone with the link and password can see your first name and last initial, your saved events and your race plans.
- Moderators can see the name and email address of people who submit events or suggest edits, so they can follow up.
We send email only about events and activity on Gravel Hub, never marketing:
- Whether an event you submitted was approved or rejected.
- Optional: reminders and recap prompts for saved events, registration-opening alerts, changes to saved events, and a weekly digest.
Every optional email has a one-click unsubscribe link, and you can change all of them on your profile.
Services that process your data
Gravel Hub runs on these providers. Each one receives only what it needs for its job.
- Clerk: sign-in and account management.
- Vercel: hosting, plus privacy-friendly Web Analytics and Speed Insights (see below).
- Supabase: our database and photo storage.
- Resend: sends our email.
- Sentry: error reports, sent without IP addresses, cookies or request contents.
- Mapbox: maps and place search.
- Open-Meteo: event weather forecasts. It receives event coordinates only, nothing about you.
- Route sites: when an event page embeds a route map from RideWithGPS, Trailforks or MapMyRide, your browser loads it from that site.
Analytics
Vercel Web Analytics counts page views and a handful of actions, such as saving an event, changing a filter or opening a comparison, so we know which features are used. It doesn't use cookies, and the actions we record carry event IDs and option names, never your name, email or location. Vercel Speed Insights measures how fast pages load.
Gravel Coach
Gravel Coach is our companion training app. If you use Coach with your Gravel Hub account, Coach retrieves your saved events and race plans (chosen distance, start time, average speed, route, notes and aid stations) to build your training plan. Your name and email address aren't part of that transfer.
Cookies and browser storage
- Sign-in. Clerk sets cookies to keep you signed in.
- Shared calendars. Unlocking a shared calendar sets a cookie that keeps it unlocked for six hours.
- Preferences. Your browser stores your last searched place, theme, distance units (when signed out), active filters and comparison list.
- Offline access. Your saved-events pages and race plans are cached on your device so they work without a connection. The cache is cleared when you sign out.
We use no advertising or cross-site tracking cookies.
Keeping and deleting your data
We keep your data while you have an account. Email phil@gravelhub.io to get a copy of your data or to delete your account. Deleting it removes your profile, saved events, race plans and contributions. Events you submitted stay listed, as they're public event information, but without your name. You can delete your own ratings and photos yourself from the event page.
Changes and contact
If we change how we handle your data, we'll update this page and the date at the top. Questions or requests go to Rush Creek Labs LLC at phil@gravelhub.io.
